Add Team Members and Set Permissions in PrestaShop 1.7.5

This guide shows how to give other people access to your store admin, and how to limit what each person can do.

What are employees and permissions?

In PrestaShop, a team member is called an employee. An employee has their own login to the back office, which is the admin area. A profile is a job role, like "Salesperson". Permissions are rules that say what each role may see or change. It is like giving a helper keys to only some rooms of your shop.

Tip: PrestaShop 1.7.5 is an older version. Newer versions work in a very similar way, but menu items may sit in slightly different places.

Step 1: Create a profile (optional)

PrestaShop comes with some profiles. You can use those or make your own.

  1. Log in to your back office.
  2. In the left menu, click Advanced Parameters, then Team.
  3. Click the Profiles tab.
  4. Click Add new profile.
  5. Type a name, such as "Order manager".
  6. Click Save.

Step 2: Set the permissions

  1. Go to Advanced Parameters, then Team, then the Permissions tab.
  2. Click the tab with your profile name.
  3. For each menu item, tick the boxes you want to allow. The boxes are usually View, Add, Edit and Delete.
  4. Only tick Delete for people you trust fully.

Changes are saved as you tick each box.

Step 3: Add the employee

  1. Go to Advanced Parameters, then Team, then the Employees tab.
  2. Click Add new employee.
  3. Fill in their first name, last name and email address.
  4. Type a strong password. Use at least eight characters with letters and numbers.
  5. Choose a language for the back office.
  6. Under Permission profile, choose the profile from Step 1.
  7. Make sure Active is set to Yes.
  8. Click Save.

Share the password with the person in a safe way. Ask them to change it after the first login.

Warning: The SuperAdmin profile can do everything, including deleting the shop. Only give it to people you fully trust.
