Why do emails go to spam?
Mail services like Gmail check every message. If it looks risky, they hide it in spam. Spam means unwanted junk email. They judge you by your domain setup, your words and your past behaviour. Think of a guard at a door who only lets in people with a proper ID.
Step 1: Set up SPF
SPF is a list of servers that may send mail for your domain. It is stored in your DNS. DNS is the phone book of the internet.
- Log in to cPanel.
- Open Email Deliverability in the Email section.
- Find your domain. If it shows a problem, click Manage.
- Read what it says about SPF.
- Click Install the suggested record if it is offered.
Step 2: Set up DKIM
DKIM adds a secret signature to your mail. It proves the mail came from you and was not changed. The same Email Deliverability page shows DKIM. Install the suggested record there too.
Step 3: Add a DMARC record
DMARC tells mail services what to do when SPF or DKIM fails. You add it as a TXT record in your DNS. Start with a soft setting, and ask Hostvento support if you need help with the exact text.
Step 4: Write good emails
- Use a clear subject. Avoid all capital letters and many exclamation marks.
- Do not use words like "FREE" or "WIN" again and again.
- Do not send one large picture with almost no text.
- Add a real name and a real address in your signature.
- Do not use too many links.
Step 5: Keep a clean list
- Send only to people who agreed to hear from you.
- Remove old or bouncing addresses.
- Give an easy way to unsubscribe.
Step 6: Protect your account
- Use a strong password so hackers cannot send spam from your account.
- Scan your computer for viruses.
- Keep your website software updated.
Step 7: Ask receivers for help
- Ask the person to open the spam folder.
- Ask them to click Not spam.
- Ask them to add your address to their contacts.
