What is spam filtering?
Email services like Gmail check every message. They look for signs that it is junk. If your email looks suspicious, it goes to the spam folder. Think of a guard at a door who checks each visitor's ID.
Step 1: Set up SPF, DKIM and DMARC
These are three records in your domain's DNS. DNS is like a phone book for the internet. The records prove your emails are real.
- SPF lists the servers allowed to send email for your domain.
- DKIM adds a secret signature to each email. The receiver checks it.
- DMARC tells receivers what to do if a check fails.
In cPanel, open Email Deliverability. It shows if your records are right and offers to repair them.
Step 2: Use a real sender address
- Send from an address on your own domain, like
name@yourdomain.com. - Avoid sending business mail from free addresses through your server.
- Keep the "From" name honest.
Step 3: Write a clean message
- Write a clear subject. Avoid ALL CAPS and many exclamation marks.
- Avoid spammy words like "free money" or "click now".
- Do not use one big picture with little text.
- Do not use too many links.
- Make sure links go to real, working pages.
Step 4: Look after your list
- Send only to people who agreed to hear from you.
- Add an easy way to unsubscribe.
- Remove addresses that bounce. A bounce is an email that comes back because the address does not work.
Step 5: Check your server
If your server IP address is on a blocklist, mail will go to spam. A blocklist is a public list of senders that others do not trust. Several free websites let you check an IP address. Ask Hostvento support if you find yours listed.
Step 6: Ask the receiver for help
Ask your friend or customer to open the email in spam and click Not spam. They can also add you to their contacts. This teaches their email service to trust you.
